Note organization
How filing keeps your choices and returns a dependable result.
Organization is being prepared behind account controls. Its internal filing transaction is shared by iPhone and Mac. Identifiers from either device refer to the same saved note, folder or operation, including when their letter case differs. Folder updates accept the UUID spelling emitted by native clients.
Selecting notes on either device preserves the same scope and retry identity. Manual placements remain protected. Uncertain notes stay where they are. A filing receipt records the result. Automatic filing follows your Intelligence choices when the account and device controls are available.
A retry returns the original receipt only for the same filing operation and the same selected notes. A different selection cannot silently report an earlier operation as successful.
Notes without tags can be filed too. Filing preserves their original tag state so an untagged note is not mistaken for a note changed during preparation.
Folder totals include a folder’s own notes and the notes in its subfolders. Large libraries are counted across every page rather than stopping at the first thousand notes. Creating or moving an unrelated note does not change the folder revision.
Interrupted preparation can be retried. A failed run never advertises itself as still preparing. Turning off overnight preparation stops further background extraction before the next note is sent.
An expired or cancelled preparation starts fresh when requested again. A preparation with no progress for ten minutes is treated as interrupted, so a retry can recover rather than remain stuck. Completed receipts retain their identity.
Withdrawing Cloud AI consent cancels unapplied cloud organization. Changing consent or disabling overnight preparation also invalidates affected pending work. Reading its status returns cancellation with no proposed note changes. Completed receipts remain available.
Receipt counts reflect the current outcome. Notes whose filing was undone are not counted as still filed; later changes appear as conflicts rather than being counted twice.
Each filing transaction tracks the notes it contains and their destinations. Unrelated library activity cannot invalidate the entire transaction. Changed notes or destinations are checked individually at commit time.
A changed destination or note is skipped and reported while unaffected notes can still be filed. New folders are admitted only when at least three selected notes remain eligible at commit time.
Folder matching can use all manually accepted notes in a large library. It does not discard matching evidence after the first thousand notes.
A skipped filing entry retains its reason, such as a changed destination. The saved result can explain what happened without attempting the operation again.
Filing preserves existing tags, including notes with more than three tags. Explicit organization can add up to three new tags; automatic filing can add up to two. Neither limit removes tags you already kept.
Intelligence controls admission at preparation, extraction, and filing. Background cloud filing requires Full with both Note organization and Notes sort themselves enabled. Tidy now and Reorganize selected notes are explicit requests, so Ask first permits them with Note organization enabled. Turning Notes sort themselves off still allows Tidy now, while settle and nightly filing remain disabled. On this device does not permit cloud organization. Turning Note organization off prevents the next extraction or filing step; turning Notes sort themselves off stops background steps. Filing checks your Intelligence choice again at the moment it saves, so a change made while a pass is running moves no notes and leaves no receipt. Existing completed receipts remain readable and reversible.
With automatic filing enabled, confident notes find their place in one transaction after preparation. Tidy now runs the same pass immediately. Reorganize selected notes applies an explicit selection immediately with Undo, including protected legacy notes. Uncertain notes stay put for Unsorted. New folders require at least three coherent, still-eligible notes. A pass with no confident changes returns no move receipt.
The compatibility preview leaves automatically placed notes out of its default selection. Tidy now considers their current destination so it does not move a settled note to a weaker match.
Explicitly selecting an automatically placed note still allows organization. The saved operation checks the note's current placement so unchanged selections do not repeatedly ask you to start over.
Automatic filing changes automatic placement without taking over authored folder choices. It adds at most two automatic tags while preserving person-authored tags. A durable receipt records the destinations and skips. Its Undo window lasts 30 days; later person changes are preserved.
A note already in its strongest destination stays there. Repeated passes do not move it to a weaker match or create another folder for the same cluster.
Tidy now and Reorganize selected notes return the saved receipt directly. The Notes receipt row can read the latest 50 receipts even after Cloud AI consent is withdrawn. Counts and destinations come from saved receipt entries, including skipped or later-changed notes.
A saved native note can trigger automatic filing after its structure and embeddings settle. The save response remains immediate. Background filing is limited to the notes selected by that settle pass, and manual placements remain excluded. With Intelligence rollout disabled, the existing save behavior schedules no automatic filing.
An individual receipt can be reopened from its saved identifier. Receipt replay is bound to its filing mode as well as its operation and selection, so an automatic result cannot be substituted for an explicit filing request.
The immediate Tidy action is a separate API used by clients with the receipt and Undo flow. Older clients retain their existing organization response so a request for a preview cannot silently move notes. Preview machinery remains available for compatibility and internal digest validation.
Unsorted can read a bounded set of uncertain notes without sending content to a model. Reading the list never changes placement. Confident placements and notes with a confident match to their current folder stay out of that list.
Background organization preparation also honors Notes sort themselves, even when it only prepares internal work. Ask first cannot authorize a background preparation by treating it as an explicit action.
Notes with a confident current placement are not sent for fallback extraction again. The nightly entry point uses the same automatic transaction and also respects the existing overnight preparation preference.
Folder counts follow effective placement, including automatic filing. A later manual placement wins over an older automatic destination in both the note’s location and its folder count.
A filing or Intelligence settings outage is reported as unavailable or a server failure, rather than asking for Cloud AI consent again.
Immediate reorganization starts a new transaction after Undo changes folder authority, even when the note’s content is unchanged. Compatibility previews keep their original classifier and retry semantics; immediate filing uses a separate internal transaction version.
Immediate retry identity also includes current filing evidence. Dismissing a subject, rejecting a destination, or changing a folder’s matching evidence starts fresh instead of reusing pending work prepared from the earlier evidence.
A completed receipt supports Undo without renewed Cloud AI consent. The saved transaction compares current fields with their post-filing state, preserves later changes, and records rejected destinations. Reorganize selected notes supports whole-receipt Undo. An automatic receipt can also undo one destination at a time, including an unfiled destination. Other destinations stay filed. A partial reversal reports later changes so it does not claim that every field was restored.
After you edit a note, earlier automatic entity matches are excluded until structuring covers the current content. Your manual entity links and dismissed suggestions remain respected. Folder matching applies the same freshness rule to evidence from previously accepted notes.
Tidy and overnight passes scan notes in a stable order until they find up to 200 eligible notes or reach the end of your library. Settled automatic placements and protected manual placements do not use that work limit, so older unfiled notes remain reachable. Explicitly selected notes can still be reorganized.
Folder creation, renaming, nesting and unnesting save atomically. A retry with the same request returns its saved result, even after later changes. A stale catalog or folder revision asks you to refresh; folders cannot be nested beyond one subfolder level or under another account’s folder. System folders retain their names and hierarchy.
Tidy now keeps automatic, reversible placement authority even when you request it at Ask first. When a note needs fresh matching evidence, Tidy now can extract it with Note organization enabled at Ask first or Full, even with Notes sort themselves off. Your manual placements remain protected. On this device does not permit Tidy now to send notes for cloud organization.
An unrelated edit while Tidy is scanning does not duplicate a note in the pass. Each page continues from the last note’s revision time and identifier, and accepted-folder evidence is loaded once for the pass.
Invalid folder input asks for correction instead of being shown as a temporary service outage. Missing server support still reports unavailable so it can be retried after setup is complete.
When background Intelligence, Notes sort themselves, and overnight preparation are enabled, the nightly pass applies confident placements with an Undo receipt.
